Managing availability

You can manage your availability for online bookings in two ways: working hours and one-off overrides.

Use working hours to set your usual availability. Use one-off overrides to block off or open up time on particular days.

Setting working hours

On the Settings > Availabilities page, you can manage your working hours. By default, Practicepicnic will set your availability to 9am-5pm for all locations and telehealth. Click Edit to change your working hours.

You can choose which locations and services each set of hours applies to. You can use this to configure different working hours for in-person vs telehealth for instance.

Note that for a service to appear under your availability, an Admin Clinician or Practice Manager must first add you to that service.

Click the + New Availability button to add new working hours for different locations or services.

One-off overrides and vacation blocks

If need to block off certain dates or manage availability on a custom recurring cadence, you can add use calendar events. Events will prevent appointments from being booking on top of them.

To add an event, click on a date and time on the calendar.

If you're blocking off time for a particular reason, indicate that in the name of the event. For generic blocks, we recommend naming the event "Block" or similar.

If the block is repeating, check the repeat checkbox and set your repeat preferences. For example:

  • If I'm taking the Monday for a long weekend off, I can create a block on that Monday starting at 9am with a duration of 480m (8h).
  • If I don't work every other Thursday, I can create block that repeats every 2 weeks on Thursdays starting at 9am with a duration of 480m (8h).

Viewing availability on calendar

Your working hours will be grayed out on your calendar and one-off blocks will show up as events on your calendar as shown below.
